Spot discrepancies, track item usage, monitor overdue gear, and export data for any project.
Verify Report
The Verify report is an inventory reconciliation tool. It compares what Find Boxes expects to be in each storage room against what's actually there. Use it after a large return or periodically to catch discrepancies before they become a problem.
How It Works
For each storage room, the report calculates:
- How many units of each item type are assigned to that room in the system.
- How many of those units are currently checked out on active orders.
- The expected on-hand count (assigned minus checked out).
Compare the expected count to what you physically count in the room. Any mismatch indicates a problem — a unit that wasn't checked out correctly, a mislabeled case, or an item that needs to be updated in the system.
What the Report Excludes
- Units marked as In Service — these are at a repair shop or otherwise offline.
- Units marked as Installed — these are permanently placed and not expected in the warehouse.
- Units marked as In Bundle — these are tracked at the bundle level.
- Items assigned to inactive storage rooms — deactivated rooms are excluded entirely.
Exporting
Click Export CSV on the Verify report page to download the full report as a spreadsheet for offline review or auditing purposes.
Low Count Report
The Low Count report identifies items where your on-hand stock falls below a defined threshold. It's useful for purchase planning — knowing which gear you're running low on before the next busy season.
- The report is generated automatically by a scheduled background task and stored in your account.
- A notification is sent via email when a new report is available.
- Download recent reports from the Reports page.
Overdue Report
The Overdue report lists every order whose end date has passed and that has not been checked in. It's the fastest way to see what gear is late.
- Accessible from Reports > Overdue or directly from the Custody section.
- Shows the item, the project or standalone order it belongs to, the original due date, and the number of days overdue.
- Installation project orders are never listed as overdue.
Wishlist Report
The Wishlist report collects all items that have been flagged as needing to be purchased. Wishlist records are created in two ways:
- Automatically — When a pull list template import can't find an available unit for a requested item, it creates a wishlist record on the project instead.
- Manually — Team members can add items to the wishlist directly from a project's Orders tab.
Use the Wishlist report to drive your procurement process — it shows everything across all projects that is needed but not yet in your inventory.
Usage / Activity Report
The Usage report shows how frequently each item has been out on orders over a given time period. Use it to identify your most-used and least-used gear, inform depreciation decisions, and plan fleet expansion.
- Set a date range and click Generate Report.
- The report is built in the background and delivered as a CSV via email when complete.
- Recent generated reports are listed on the Reports page for download.
Audit Log
Find Boxes keeps a detailed record of every significant action taken in your account. The audit log is a chronological list of who did what and when.
What Gets Logged
- Adding, editing, or removing items and item units
- Check-out and check-in events
- Creating, editing, or closing projects
- Adding or removing expenses
- Adding or removing team members and clients
- Deleting pull list templates
- User account changes (invites, disable/enable, admin grants)
Viewing the Log
The audit log is paginated and searchable. Access it from the Reports section. Each entry shows the timestamp, the user who performed the action, and a plain-text description of what happened.
Project-Level Exports
In addition to org-wide reports, individual projects offer several CSV exports from the project detail pages:
