What Is a Pull List Template?

A pull list template is a saved collection of equipment — organized by item type, storage location, and quantity — that you can import into any project's pull list with one click.

Templates are ideal for setups you build repeatedly. Instead of rebuilding the same pull list from scratch for every corporate event or install job, you create a template once and import it whenever you need it. The system then searches for available units that match each item on the template and reserves them automatically.

Templates store item types, not specific units A template says "I need 2 units of a Panasonic PT-MZ10KLWU from the Main Warehouse." When you import it, Find Boxes finds 2 available units of that projector at that location and reserves them. The template itself doesn't lock down specific serial numbers.

Creating a Template

  1. Go to Settings > Pull List Templates.
  2. Enter a name for your template and click Create Template.
  3. You'll be taken to the template detail page where you can add items.

Adding Items to a Template

On the template detail page, use the search field to find items in your inventory catalog. Results include items matched by name, friendly name, and tags. Once you find the right item:

Each item + storage location combination can only appear once per template. If you need the same item from two different storage rooms, add it twice with different rooms selected.

Removing Items

Click the × button next to any item on the template to remove it immediately. There is no confirmation step — the item is removed right away.

Cloning a Template

Click Duplicate on any template to create an exact copy. The copy gets the same name with "(copy)" appended, and you can rename it and adjust the items from there.

Any org member can clone any template, regardless of who created the original.

Importing a Template into a Project

Importing fills a project's pull list with orders generated from a template. The import runs as a background job so the page doesn't lock up while it works.

  1. Open the project and go to the Pull List tab.
  2. Select a template from the dropdown in the import bar at the top of the page.
  3. Click Preview & Import to see what will be added.
  4. Review the item list in the preview, then click Import to Pull List to confirm.
  5. A message confirms the import is running. Refresh the page after a moment to see the new orders.

What Happens During Import

For each item + quantity on the template, Find Boxes:

Installation Projects

For installation projects, the import holds units indefinitely — no end date is set. The system checks for units with no conflicting orders of any kind before reserving them.

Projects Without an End Date

If a project has no end date set, the import falls back to today's date as the end date when checking availability.

Double-import prevention If an import is already running for a given project and template combination, submitting another import request will have no effect. The system prevents the same import from running twice simultaneously. Wait for the first import to finish before trying again.

Import Permission Setting

Your org admin can control who is allowed to trigger a template import on a project. This setting is found in Settings > Controls > Pull List Template Import.

Save Current Pull List as a Template

Already have a project with the exact pull list you want to save? You can create a template directly from it without rebuilding it from scratch.

  1. Open the project's Pull List tab.
  2. Click Save as Template.
  3. Enter a name for the new template and click Save.

Find Boxes creates a new template with one entry per distinct item + storage room combination from the current pull list. Quantities are set based on how many units of each item are on the list.

When does Save as Template appear? The Save as Template button appears on the pull list page regardless of whether any templates already exist in your org. Any org member can use it.

Task List Templates

What Is a Task List Template?

A different kind of template — a reusable checklist of tasks instead of equipment. A task list template is a named, reusable checklist (e.g. "Pre-Production Checklist," "Strike") saved at the org level, independent of any project. It stores a list of task items — each just a name and notes — that get copied into a brand-new task list whenever you import the template into a project.

Templates store placeholders, not schedules A template task item only has a name and notes. Start dates, due dates, and assigned team members aren't part of the template — you set those on each task item after importing it into a real project.

Creating a Task List Template

  1. Go to Settings > Task Templates.
  2. Enter a name and click Add Template.
  3. You'll be taken to the template detail page where you can add task items.

Adding Task Items

On the template detail page, click Create Task, enter a name and optional notes, and click Create. Repeat for every step in the checklist.

Removing Task Items

Click the × on any task item card to remove it from the template immediately. There is no confirmation step.

Importing a Template into a Project

From a project's Tasks tab, select a template from the dropdown and click Import Task List. This creates a new task list on the project with the same name as the template, and copies over each task item's name and notes.

The import runs as a background job, so it may take a minute for the new task list to appear. Importing a template never changes the template itself, and you can import the same template into as many projects as you like.
